JOB PURPOSE & OVERVIEW

Plan and coordinate facilities, asset, and fleet operations by analysing operational requirements, schedules, and resources to ensure safe, compliant, and functional workplaces that support organisational objectives and business continuity.

  

KEY ACCOUNTABILITIES

1.

Preventive Maintenance Planning

Develop preventive maintenance schedules by analysing historical asset performance, operational priorities, and vendor capabilities to reduce unplanned downtime, extend asset lifespan, and maintain operational continuity.

 

Monitor preventive maintenance effectiveness by reviewing completion logs, conducting inspections, and analysing trend data to identify recurring issues, recommend workflow improvements, and ensure alignment with organisational objectives.

 

2.

Maintenance Planning and Execution

Plan and coordinate maintenance activities by scheduling tasks, allocating resources, and coordinating access with teams through maintenance calendars to avoid equipment or facility breakdowns.

 

Coordinate corrective maintenance by mobilising internal teams and service support through troubleshooting steps, repair approvals, and postrepair verification to restore operations quickly and costeffectively.

 

Resolve urgent repairs and recurring issues by assigning tasks, reviewing outcomes, and implementing solutions to restore operations efficiently and prevent future problems.

 

3.

Asset Management and Optimisation

Manage assets by scheduling regular service, inspections, and repairs through maintenance lists and condition checks to keep equipment and tools functioning efficiently.

 

Review asset usage, condition, and performance by analysing reports and inspection data to make informed decisions about replacements, upgrades, or repairs, helping reduce costs and extend asset life.

 

4.

Operational Efficiency and Resource Management

Optimise operations and processes by reviewing workflows, monitoring performance, and implementing improvements through reports and assessments to increase efficiency, reduce downtime, and enhance overall service quality.

 

Manage and allocate resources effectively by coordinating personnel, equipment, and materials through planning, scheduling, and contingency measures to ensure smooth operations, minimise waste, and maintain service continuity.

 

5.

Team Leadership and Stakeholder Engagement

Lead and guide facilities and maintenance teams by providing clear instructions, monitoring performance, and supporting professional development to ensure effective execution of tasks.

 

Communicate with stakeholders, including department heads and service providers, by sharing updates, resolving concerns, and coordinating schedules to maintain smooth operations and positive relationships.

QUALIFICATION & RELEVANT EXPERIENCE

Educational Qualification

  • Degree in Facilities Management, Engineering, Architecture, or related field.

 

Relevant Experience (skills & knowledge)

  • 10 – 12 years of experience in facilities, asset, and fleet management, including supervisory or managerial exposure, by leading teams, coordinating activities, and delivering consistent results.
  • Strong planning and organisational skills to develop maintenance schedules, preventive programs, and operational plans that reduce downtime and improve service reliability.
  • Knowledge of building, safety, and fleet standards applied through inspections, documentation, and corrective actions to maintain compliance and mitigate risk.
