JOB PURPOSE & OVERVIEW |
|
To lead the planning, coordination, and execution of serial events within the Corporate Communications Division, ensuring adherence to standard operating procedures and contributing to the achievement of organizational goals through impactful event initiatives.
|
|
KEY ACCOUNTABILITIES |
|
|
1. |
Standard Operating Procedures (SOP) Compliance Ensure that all standard operating procedures, processes, and protocols within the Events and Protocol Unit are meticulously maintained, updated, and followed diligently by team members across all organizational levels and branches.
Provide strategic guidance and guidelines to ensure SOPs align with approved standards and criteria, promoting efficiency and consistency in event management company-wide.

2. |
Event Conceptualisation and Planning Lead brainstorming sessions to develop yearly event plans and concepts that cater to all levels and branches within the organization.
Foster creativity and innovation in the design and execution of serial events, aligning them with strategic guidance and regional operational requirements to ensure events meet approved standards and criteria.

3. |
Event Proposal Development Prepare detailed event proposal working papers encompassing event objectives, venue selection, dates, tentative agendas, target participants, and estimated budgets.
Provide strategic guidance and guidelines to facilitate decision-making and resource allocation, ensuring that event proposals align with organizational objectives and meet approved standards and criteria for events at various levels and branches.

Vendor Procurement and Logistics Management Conduct thorough research and procurement processes to select appropriate contractors, suppliers, and vendors capable of meeting the unique requirements of events at all levels and branches.
Identify suitable hotels or exhibition centers during event planning to ensure seamless logistical arrangements, while providing strategic guidance and guidelines to ensure vendor selections adhere to approved standards and criteria.

Secretariat Establishment and Coordination Utilize extensive experience in managing and handling events for all levels and branches within the organization, leveraging knowledge to optimize event planning and execution processes.
Provide strategic guidance and guidelines for events, acting as the advisor for regional operations to ensure all events under the company meet approved standards and criteria, fostering consistency and excellence in event management across the organization.

OPERATIONAL BUDGET MANAGEMENT Strategise and manage departmental/unit operations within allocated approved budget through continuous monitoring of actual expenditure against budget and undertake appropriate control measures to ensure operations are conducted effectively and efficiently to support business goals.

STAKEHOLDER MANAGEMENT Foster and sustain effective working relationships and rapport with the internal stakeholders and relevant government authorities, business and management institutions, national and key industry players and service providers to keep abreast with latest development to capture new business opportunities.

10. |
LEADERSHIP AND CAPABILITY DEVELOPMENT (VP & ABOVE) Drive the development of a competent working team that will enhance and sustain staff capabilities in achieving high performance delivery to ensure internalisation of the right leadership and capabilities in executing their jobs.
Foster the development of talents by providing guidance and avenue to potential employees for succession planning and recommend development needs as required to ensure grooming of talents in align to the best interest of the talent and PSMB’s vision and mission.
