JOB PURPOSE

Plays a vital role in accomplishing PSMB’s overall objectives by researching, evaluating, and engaging with suppliers to ensure the timely and cost-effective procurement of goods and services, contributing directly to the organisation's operational efficiency and effectiveness.

 

Responsible for conducting strategic sourcing tasks to and drive cost efficiencies. Key duties include analysing market trends, negotiating contracts with suppliers, and developing sourcing strategies aligned with organisational objectives. Collaborates with cross-functional teams to ensure procurement activities support business needs.

 

KEY ACCOUNTABILITIES

Research and Identification of Prospective Suppliers.

  • Conduct thorough market research to identify potential suppliers, ensuring a diverse and reliable vendor base by staying abreast of industry trends, market dynamics, and emerging players to meet the organisation's procurement needs.
  • Establish a diversified and reliable vendor base that can effectively meet the organisation's procurement needs, which includes staying informed about the latest innovations and industry advancements, ensuring that PSMB remains at the forefront of procurement best practices.

 

 

Relationship Management with Internal Project Teams & Supplier Relations

  • Collaborate closely with internal project teams to understand procurement requirements and establish and maintain robust relationships with suppliers, fostering effective communication and collaboration.
  • Maintain constant communication to grasp project-specific needs, timelines, and budget constraints, while fostering a positive and collaborative environment, ensuring that suppliers are engaged as strategic partners.
  • Build trust with internal stakeholders and suppliers to contributes to the overall success of procurement activities and reinforces PSMB's commitment to fostering long-term, mutually beneficial partnerships.

 

 

Products and Suppliers Evaluation

  • Implement strategic evaluation processes, assessing products and suppliers against defined business criteria to ensure alignment with organisational goals and standards.
  • Responsible for implementing strategic evaluation processes that align with the organisation's goals and standards to ensure that selected products and suppliers not only meet immediate needs but also contribute to the long-term success of PSMB.
  • This includes developing and refining criteria such as quality, cost, sustainability, and innovation, which involves balancing short-term gains with long-term strategic considerations, ultimately enhancing the overall value derived from procurement activities.

 

 

Proposals & Documentation

  • Develop comprehensive proposals, request competitive quotes, and adeptly negotiate favorable purchase terms and conditions, optimizing cost-efficiency and value for PSMB.
  • Engages in proactive preparation of comprehensive proposals, ensuring that they reflect the organisation's needs and objectives accurately. This includes the meticulous process of requesting competitive quotes from suppliers, requiring effective communication and negotiation skills.

 

 

Preparation & Issuance of Purchase Orders (PO) & Agreements

  • Oversee the procurement process by preparing and issuing accurate purchase orders and agreements. This involves reviewing purchase requisitions, verifying specifications and quantities, obtaining necessary approvals, and ensuring compliance with organizational policies and legal requirements throughout the procurement cycle.
  • Ensure adherence to organisational procurement policies, procedures, and guidelines during the preparation and issuance of purchase orders and agreements. This includes verifying that procurement actions comply with established protocols regarding vendor selection, bidding processes, budgetary constraints, and approval thresholds.

 

 

EDUCATION QUALIFICATION

  • Degree in Supply Chain Management, Business Administration, or a related field.
  • Professional accounting qualification as a Chartered Certified Accountant e.g. CPSM, CPP, CSCP, CPIM and CPSD would be an added advantage.

 

RELEVANT EXPERIENCE

  • 5 – 7 years of experience in procurement and contract management
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders.
