JOB PURPOSE
Execute operational tasks in the planning, coordination, and delivery of project activities across HRD Corp to ensure seamless implementation in alignment with the organisation’s project management frameworks. The role ensures accurate documentation, consistent progress monitoring, and effective communication among stakeholders to drive project outcomes.
KEY ACCOUNTABILITIES
Operational Project Scheduling
- Develop and update project schedules using approved templates and tools to ensure project timelines are realistic and achievable for effective coordination and timely execution.
- Coordinate planning meetings and maintain planning records to ensure team alignment and preparedness in the early stages of the project lifecycle.
Requirements & Documents Management
- Capture and document project requirements in collaboration with stakeholders using standard forms and checklists to ensure clarity and shared understanding of project deliverables.
- Track and organise all project documentation, including meeting minutes and task trackers, in a centralised repository to facilitate access, traceability, and accountability throughout the project lifecycle.
Project Tracking & Monitoring
- Monitor task progress and project milestones using tracking tools and baseline comparisons to provide visibility, highlight potential risks, and enable timely corrective actions for uninterrupted project delivery.
- Update and maintain project dashboards and progress documentation with accurate and current data to support informed decision-making and ongoing project evaluation.
Stakeholder Communication Management
- Coordinate stakeholder engagement activities through timely updates, structured communication, and meeting arrangements to ensure consistent alignment and uninterrupted project progress.
- Track stakeholder queries, decisions, and follow-up actions using project logs and communication tools to maintain accountability and reduce information gaps across the project lifecycle.
Reporting & Documentation Coordination
- Compile and submit project status updates and data summaries using standard reporting formats to ensure accurate tracking and provide stakeholders with clear visibility on project performance.
- Develop project review materials and consolidate lessons-learned documentation to enable structured evaluations and contribute to continuous improvement initiatives.
EDUCATION QUALIFICATION
- Degree in Business Administration, Project Management, or a related field.
- Certifications in Project Management or related would be an added advantage.
RELEVANT EXPERIENCE
- 1-5 years of experience in project coordination or a related role.
- Demonstrated ability to manage multiple priorities and workstreams effectively.
- Strong communication skills to influence cross-functional team members
- Ability to translate and communicate clear project goals
