JOB PURPOSE
To facilitate the effective and efficient operations of the East Coast Region through secretarial and administrative support, customer assistance, employer advisory services, event management, and asset management.
KEY ACCOUNTABILITIES
Provide Administrative Support
- Execute daily clerical functions such as handling documentation, managing schedules, and maintaining accurate records to support regional operations, ensuring all administrative processes are executed efficiently and in compliance with established procedures.
- Oversee routine communication channels to support team coordination, process incoming and outgoing correspondence and ensure the timely distribution of information within the team.
Handle Customer Inquiries
- Respond to inquiries from internal and external stakeholders by providing accurate and timely information, documenting inquiries and resolutions to ensure all stakeholder interactions are recorded and managed effectively.
- Engage with stakeholders to address issues and provide guidance, following up on outstanding matters to foster positive relationships and enhance overall customer satisfaction.
Implement PSMB Guidelines
- Help registered employers understand and follow PSMB guidelines and procedures by maintaining accurate records related to compliance and monitoring adherence to guidelines.
- Record and track information related to levy utilization and workforce development initiatives, ensuring data is accurately entered and up to date to support effective resource management.
Support in Promotional Activities
- Coordinate promotional activities for special programs, workshops, and engagement sessions by preparing necessary materials and managing logistical arrangements.
- Engage with participants and stakeholders to support awareness and participation, ensuring that all promotional events are executed smoothly and contribute to the program’s objectives.
Manage Asset Records
- Keep detailed and accurate records of property and assets, including those scheduled for disposal, ensuring all asset records are up-to-date and comply with relevant regulations.
- Manage the asset disposal process by ensuring proper documentation and adherence to policies and implement and maintain asset management practices to promote transparency and risk mitigation.
EDUCATION QUALIFICATION
• Diploma in Business Administration, Management, Public Administration, Communications, or related disciplines.
RELEVANT EXPERIENCE
- 1 – 5 years of relevant working experience in administrative and ability to manage multiple tasks simultaneously.
